Link Accounts

Link Pubeasy to your existing supplier accounts so you can place orders and check status online.


You can link one or more accounts at once. To do so:

  1. Gather your vendor account number(s).
  2. For each vendor, select the check box and enter your account number.
  3. Click the Send Requests button.

Benefits of Account Linking and SANs

We want to make it easy for you to understand how to place orders on Pubeasy, our platform for book retailers. There are a few different options available, so let's break them down for you.

Please note that the new Routing Service option is currently only available for UK customers.

Firstly, to place orders on Pubeasy, you will either need to have Account Linking between your Retailer account and the Supplier, or you can use the Pubeasy RoutingService.

On Pubeasy there are two types of suppliers:

1. Pubeasy Suppliers: These suppliers directly share their bibliographic data with Pubeasy. When you have an Account Linking with them, it creates a customized connection between you and the supplier. This connection ensures that both parties know each other and can predefine their way of trading. One of the advantages of Account Linking is that the bibliographic data from Pubeasy Suppliers is always up to date. These suppliers usually support PPI (Personal Product Information) requests from the Pubeasy website which provide real-time data, such as price and availability.

2. RoutingService Suppliers: These Suppliers don't provide their bibliographic data in a direct 1:1 connection with Pubeasy as they do not have the same level of integration with Pubeasy as Pubeasy Suppliers, but you can still place orders with them through our RoutingService.

Now let's explore the options available to you as a UK retailer:

1. Account Linking with Pubeasy Suppliers: By linking your retailer account to Pubeasy Suppliers, you can enjoy an exclusive connection to your preferred suppliers. This means your orders are sent directly to Suppliers and automatically processed by them, streamlining the ordering process.

2. Using the Pubeasy RoutingService: If you don't want to define a specific supplier for your orders, you can utilize the Pubeasy RoutingService. However, you will need a SAN (Standard Address Number) applied to your Pubeasy Mailbox (Pubeasy Account) to use this service. The RoutingService allows you to place orders without specifying a particular supplier. By utilizing the Pubeasy RoutingService, you can enhance your purchasing flexibility and save valuable time that would otherwise be spent on researching product availability.

3. Combining Account Linking and RoutingService: You also have the option to benefit from the full range of available products on Pubeasy. This includes products from Pubeasy Suppliers through Account Linking and products that will be available through the Pubeasy RoutingService. This option allows you to access a wide variety of books from different sources, providing you with a comprehensive selection.

Overview

Placing orders on Pubeasy requires either Account Linking between Retailer and Supplier or a Retailer would need a SAN.

On Pubeasy there are two types of Suppliers:

  • Pubeasy Suppliers – these directly share their bibliographic data with Pubeasy, many provide real-time stock and availability via the Personal Pricing Information query.
  • RoutingService Suppliers who have products listed on Pubeasy but don’t supply their bibliographic data directly to Pubeasy (via a direct 1:1 connection.)

Pubeasy Suppliers always trade with Pubeasy Retailers by Account Linking: Account Linking defines a customized connection between Retailers and Pubeasy Suppliers.

Account Linking ensures that both parties have a Trading Agreement and have therefore agreed Terms & Conditions (this includes a Retailer’s personal discount for products and Credit Terms.)

One of the big advantages of Account Linking is that Bibliographic data from Pubeasy Suppliers are always up to date - many Pubeasy Suppliers support Personal Pricing requests and send customized real-time data (e.g. Price, Availability) to Pubeasy once a Retailer has an Account Linking with the Supplier.

As a retailer, you have 3 options:

  1. Linking your account to Pubeasy Suppliers to benefit from an exclusive connection to your preferred suppliers to order directly.
  2. Using the Pubeasy RoutingService that allows you to place orders without defining a specific supplier (a SAN allocated to your mailbox/account will be required.)
  3. Using both Pubeasy Account Linking and the RoutingService to benefit from the whole range of available products on Pubeasy (products from Pubeasy Suppliers and products which will be available within the Pubeasy RoutingService.

How to Link Your Account on Pubeasy

For existing Pubeasy users:

Ensure that you have an existing account number or trading relationship with the Supplier listed on Pubeasy with which you wish to place an order.

  • If you do not have an existing account, please contact the Supplier(s) directly to agree Terms and Conditions which will allow you to have your account linked.
  • Contact details for all Pubeasy Suppliers may be found under the ‘Suppliers’ option on the main tabs.

Once you have an account with the relevant Supplier, you can submit an account linking request.

To link your account, go to the Suppliers tab and click ‘Account Linking’ from the dropdown menu.

  • Select the relevant Supplier, add in your Supplier Account Number (not your Pubeasy PIN/User ID), then click ‘Submit Requests.’
  • An automated request for account linking will then be sent to the Supplier and your account will be linked (usually within 48 hrs of your request Monday-Friday.)

Once your account has been linked, you may start ordering from the Supplier.

For Pubeasy Order RoutingService Users – SAN required:

To place orders with Suppliers, for those Suppliers which do not require Account Linking, you will need a SAN.

  • To obtain a SAN please contact the SAN Agency.

A SAN will need to be allocated to your account.

  • For migrated Nielsen Retailer users this has already been done for you.
  • For existing Pubeasy users and New Users, please request a SAN and contact our customer support with the SAN so that this may be added to your account.

Once you have a SAN on your Pubeasy Account, you may begin placing orders via the Order Assistant (coming soon) or upload ready-to-process order files.
